The setup

A clinic with several doctors runs bookings through phone calls and a wall calendar. The front desk is constantly on the phone, patients call during lunch and get voicemail, and no-shows quietly cost a chunk of every day’s revenue.

The problem

  • Booking only works during phone hours, so after-hours demand is lost.
  • No-shows because reminders are manual and inconsistent.
  • The front desk is a bottleneck for a task that could self-serve.

What we built

  • WhatsApp booking — patients pick a doctor and slot in a guided chat, synced to the clinic’s calendar.
  • Automatic reminders the day before, with one-tap confirm or reschedule.
  • Simple triage questions up front so the right slot length is booked.
  • A dashboard the front desk can see, with everything logged per patient.

How it feels day to day

Patients book themselves at 11pm. The day before, reminders go out and shaky appointments get rescheduled instead of no-showing. The front desk handles exceptions, not every single booking.

What good looks like

Clinics that move booking to WhatsApp typically see fewer no-shows, more after-hours bookings, and a calmer front desk. Illustrative outcomes — yours depend on your patient base and scheduling rules.
