The setup
Picture a growing direct-to-consumer brand doing a few hundred orders a week across a website and Instagram shop. Most customer messages land on WhatsApp, and most of them are the same three questions: “Is this in stock?”, “Where’s my order?”, and “Can I change my address?”
One or two people answer them by hand, copying tracking links out of the order panel. Replies are slow on weekends, and genuinely high-intent buyers wait behind routine status checks.
The problem
- Repetitive status questions eat the team’s whole day.
- Slow replies after hours quietly cost sales.
- No single place to see a customer’s full history across web and DMs.
What we built
We connect the store’s order and catalogue data to a WhatsApp agent that can actually look things up, not just send canned text.
- Live order lookup — the customer asks, the agent reads real order + courier status and replies with the tracking link.
- Stock and price answers pulled straight from the catalogue, with a buy link.
- Address/change requests captured and routed to a human only when needed.
- Everything logged to a simple CRM view so the team sees one timeline per customer.
How it feels day to day
Routine questions are answered in seconds, any time of day. The team only sees the messages that actually need a person — a refund judgement call, a VIP, an edge case — and they open those with the full history already in front of them.
What good looks like
In a setup like this, the large majority of inbound WhatsApp messages get resolved without a human, first-response time drops to seconds, and the team’s hours move from copy-pasting tracking links to handling the conversations that grow revenue. Those are illustrative outcomes, not a guarantee — your numbers depend on your volume and catalogue.
